TITLE I: General
Article 1
This document sets out the general conditions governing participation in the International Exhibition of Health Professionals and Care Integration (SIPSIS). By participating in SIPSIS, each participant agrees to comply with these general conditions.
Article 2
The goal of SIPSIS is to contribute to a synergy of action among stakeholders in the health ecosystem in Africa.
Article 3: Definitions
Organizer: Refers to the Kug-Laaga Association, identification number N0000013948, with its headquarters in Ouagadougou, Saaba.
Participant: Any natural or legal person duly registered to take part in SIPSIS activities.
Article 4: Purpose of the general conditions
These general conditions govern participation and use of the SIPSIS website, as well as access to the activities offered during the event. By registering online and creating a user account, each participant agrees to be bound by these general conditions.
Article 5: Adherence to the general conditions
These general conditions are applicable to all SIPSIS participants. By submitting their request for participation, any participant declares that they have read the “General Conditions”.
Any admission to SIPSIS implies the participant’s total and unreserved acceptance of the general conditions as well as all the documents referred to therein.
TITLE II: Organization
Article 6
SIPSIS is organized by the Kug-Laaga association and its practical execution is ensured by the permanent secretariat of SIPSIS. The Show is biennial, lasts seven (07) days and is held during the period from November to December. It is open from 9:00 a.m. to 9:00 p.m.
Article 7
The Kug-Laaga association sets the location, duration, opening and closing times of the event, the price of the stands, the price of entries, the location of the exhibitors in the stands as well as the closing date for registrations. . It determines the categories of natural or legal persons admitted to participate in the event, as well as the nomenclature of the products or services presented.
TITLE III: Registration and user account
Article 8
Online registration is mandatory for all SIPSIS participants. Participants must create a user account by providing accurate and up-to-date information.
Article 9
There are two types of registration in SIPSIS:
- General registration (creation of a user account) is free and allows the user to access privileged information on the SIPSIS website.
- Specific registration is paid and allows you to participate in SIPSIS activities.
Article 10
Each participant is responsible for the confidentiality of their account information and the use of their username and password. Any activity carried out via the user account is the responsibility of the participant.
TITLE IV: Activities of SIPSIS
Article 11: Professional Exhibition
The professional exhibition allows participants to discover the products, services and innovations offered by the exhibitors. Participants must respect the rules and instructions specific to the exhibition, including the intellectual property rights of exhibitors.
Article 12: Conferences, Training and Workshops
Conferences, training and workshops provide learning and knowledge sharing opportunities. Participants must respect the schedules, the rules of participation and the instructions given by the speakers and facilitators.
Article 13: B2B meetings
B2B meetings allow participants to establish professional contacts and develop collaboration opportunities. Participants must respect the rules and instructions specific to B2B meetings and show courtesy and respect towards other participants.
Article 14: Visits to sites of health interest
Visits to health sites of interest provide an opportunity to discover innovative facilities and practices. Participants must comply with the safety rules and protocols specific to each site visited.
Article 15: Healthcare Professional Night (NPS)
The Health Professional’s Night is a gala dinner evening organized as part of SIPSIS. Participants must follow appropriate rules of conduct, show respect for other participants, and comply with applicable laws and regulations.
Article 16
Each participant receives a certificate of participation mentioning the activities in which they took part during the SIPSIS. These certificates are in physical or digital form and available during the SIPSIS until ten (10) days after the closing. For online conference participants who would like to have the physical version of their certificate, shipping will be at their expense.
TITLE V: Admission conditions and control
Article 17
Admission to SIPSIS is reserved:
- To professionals in the health sector (human, animal, environmental),
- To representatives of companies in the health ecosystem (human, animal, environmental)
- To students in the health sector (human, animal, environmental)
- Any natural person or organization interested in the health sector (human, animal, environmental).
Article 18
Participants must meet the admission criteria established by the SIPSIS organizer. The organizer reserves the right to refuse admission to any person who does not meet the required criteria.
Article 19
Participants are required to provide accurate and complete information when registering, including their identity, professional affiliation and contact details.
Article 20
The organizer reserves the right to ask participants to provide supporting documents or additional documents to verify their eligibility and professional status.
Article 21
Participants are required to adhere to appropriate rules of conduct and standards of behavior when participating in SIPSIS. The organizer reserves the right to take appropriate measures, including exclusion of the participant, in the event of violation of these rules.
Article 22
Anyone wishing to participate in one of the activities must complete a reservation request form. This request constitutes a firm and irrevocable commitment to pay the full price of participation. The organizer examines reservation requests and decides on admissions. Admission only becomes effective after payment of fees and written confirmation to the participant.
Article 23
The SIPSIS organizer controls admissions to ensure that only eligible individuals are allowed to participate in the event.
Article 24
Admission checks may include verification of participants’ identity, employment status, affiliations and any other information required to confirm eligibility.
Article 25
Participants are required to comply with the admission control procedures put in place by the organizer. This may involve submitting valid identification documents, registration confirmations or other requested supporting documents.
Article 26
The organizer reserves the right to refuse admission to any person who cannot prove their identity or professional status, or who does not meet the established admission criteria.
Article 27
Participants understand and agree that admission checks are carried out with the aim of ensuring the security, integrity and quality of the event, as well as to prevent any violation of applicable rules and regulations.
Article 28
Participants are required to cooperate fully with admission screening officers and provide the required information and documents accurately and truthfully.
TITLE VI: Exhibition
Chapter 1: Products and services to exhibit
Article 29
Exhibition at SIPSIS only admits products and services relating to health (human, animal and environmental). Counterfeit products are strictly prohibited. Any offender is subject to sanctions in accordance with the laws and regulations in force in Burina Faso. Chapter 2: Occupancy and use of exhibition spaces
Article 30
The distribution of exhibition spaces at the International Exhibition of Health Professionals and Care Integration (SIPSIS) is carried out by the organizer in accordance with the established criteria and terms.
The organizer determines the locations and dimensions of exhibition stands based on availability, product or service categories, exhibitor requests and other relevant factors.
Article 31
Exhibitors can express their preferences regarding the distribution of exhibition spaces, but the final decision rests with the organizer. The organizer reserves the right to modify the initial distribution if this is deemed necessary for logistical reasons, space optimization or other considerations.
Article 32
Exhibitors are informed of the location of their exhibition stand before the start of the event. They must respect the locations assigned to them and not modify them without the prior authorization of the organizer.
Article 33
The organizer does its best to take into account the needs and preferences of exhibitors when allocating exhibition spaces, but cannot guarantee that all requests will be met.
Article 34
Exhibitors must comply with the rules and regulations established by the organizer regarding stand layout, dimensions, permitted equipment and any other applicable guidelines.
Chapter 2: Co-participation
Article 35
In some cases, exhibitors can benefit from co-participation in shared exhibition spaces. Several companies or organizations may decide to share an exhibition stand to reduce individual costs and increase their collective visibility. Each participant can contribute financially and bring their products, services or information to create a common space.
Article 36
The terms of co-participation, including the distribution of costs, space and responsibilities, are agreed between the exhibitors concerned and the SIPSIS organizer. A separate co-participation agreement may be established to govern the rights and obligations of the parties involved.
Article 37
Exhibitors participating in a co-participation are required to comply with the conditions and rules established in the co-participation agreement, as well as the general rules of SIPSIS regarding conduct, presentation of products/services and safety.
Article 38
Exhibitors participating in a co-participation remain responsible for their own activities, products and services, as well as their compliance with applicable laws and regulations.
Article 39
The organizer reserves the right to change the layout of the exhibition space, including co-participation arrangements, if necessary for logistical or operational reasons. The exhibitors concerned will be informed of the changes made as soon as possible.
Chapter 3: Assembly and dismantling of stands
Article 40
SIPSIS exhibitors are required to respect the periods specified by the organizer for the assembly and dismantling of their exhibition space.
Set-up and dismantling periods are set to ensure an orderly running of the event and to minimize disruption to other exhibitors and participants. Exhibitors are responsible for setting up their exhibition space on time and in accordance with the rules and regulations established by the organizer.
Article 41
During the assembly period, exhibitors must comply with safety and environmental protection standards, particularly with regard to the use of appropriate tools, equipment and materials.
Article 42
Exhibitors must ensure that their exhibition space is ready to open to the public at the scheduled time, ensuring all necessary elements are in place, such as signage, displays, products or services to display, etc.
Article 43
During the dismantling period, exhibitors must dismantle and remove their facilities and equipment in accordance with the guidelines provided by the organizer. They must also ensure the cleanliness of their location by removing any waste or unwanted material. Exhibitors are required to respect safety rules during dismantling, avoiding any risk for themselves, other exhibitors and participants.
Article 44
Exhibitors must comply with the assembly and dismantling schedules established by the organizer. Any delay or failure to comply with set-up and take-down periods may result in sanctions, such as financial penalties or restrictions on future participation.
If the exhibitor does not dismantle his installations within the specified period, the organizer reserves the right to destroy the installations and goods left without having the obligation to reimburse their value to the exhibitor.
Chapter 4: Rehabilitation of exhibition spaces
Article 45
SIPSIS exhibitors are required to maintain and preserve the exhibition spaces allocated to them in good condition throughout the duration of the event. At the end of the event, exhibitors are responsible for restoring their exhibition spaces in accordance with the guidelines provided by the organizer. This includes the removal of any materials, equipment or decorations used during the event. Exhibitors must ensure that exhibition spaces are left in a clean and orderly condition, free from trash and any damage caused during the duration of the event.
Article 46
Exhibitors are required to comply with rules and regulations relating to safety, environment and waste management when refurbishing exhibition spaces. This may include the separation and appropriate disposal of waste, compliance with electrical and fire safety standards, as well as any other specific protocols established by the organizer.
Article 47
The organizer reserves the right to carry out checks on the restoration of the exhibition spaces and to invoice exhibitors for any additional costs incurred to repair damage or ensure the cleanliness of the spaces. Exhibitors are required to respect the restoration deadlines set by the organizer. Any delay or failure to comply with restoration obligations may result in sanctions, such as financial penalties or exclusion from future events organized by the same organizer.
Chapter 5: Compliance of the development
Article 48
It is expressly prohibited to transfer, sublet or exchange, free of charge or for a fee, all or part of the space allocated by the organizer. The exhibitor may not, in any form whatsoever, present products or services or advertise for non-exhibiting companies or entrepreneurs, without express prior authorization from the organizer.
Article 49
Exhibitors undertake to maintain their stand in good condition. They are responsible for any damage they cause to the floor, partition, or any other material assigned to them. The repair costs will be determined by the technical services of the organizer and invoiced additionally.
Article 50
In general, the exhibitor undertakes not to constitute, by itself and/or by the arrangements made in its stand, any inconvenience for visitors and other users of the site, in particular through sound animations and lighting other than those provided by the organizer. Any offender is subject to confiscation of their devices, and any repeat offender will be expelled.
Article 51
The exhibitor is responsible for completing all formalities necessary for participation in the event, including those related to labor regulations, customs rules for imported products, and hygiene standards.
Article 52
Exhibitors undertake in their own interest to maintain a representative or delegate authorized to conclude business at all times on their stand. They are responsible for the actions of their staff and in particular for any embezzlement which they may be accused of.
Chapter 6: Communication and contact with the public
Article 53
The exhibitor waives any right of action, whether against the organizer, producers, or distributors, with regard to broadcasting, for purposes related to the event, in Burkina Faso and abroad, on the media such as television or any other medium, of its image, that of its work, its sign, its brand, its staff, its products or services. It undertakes to ensure that this obligation is respected by its employees, subcontractors and partners. However, any person or company, other than the organizer and accredited media, wishing to take photographs, must obtain prior agreement from the exhibitor and the organizer.
Article 54
The organizer reserves the exclusive right of display in the premises hosting the event. The exhibitor can therefore only use the posters and signs of his company and only inside his stand, and within the limits of the requirements concerning general decoration. Circulars, brochures, catalogs, printed matter, or objects of any kind may only be distributed by exhibitors on their stand. No prospectus for non-exhibited products may be distributed without the written authorization of the organizer.
Article 55
The distribution or sale of periodicals, leaflets, raffle tickets, badges, participation vouchers, even if it relates to a charitable work or event, as well as surveys on the location of the event and its immediate surroundings are prohibited, unless otherwise granted by the organizer.
Article 56
Any light or sound advertising, and all events, shows, or demonstrations likely to cause crowds inside and around the site must be subject to the prior approval of the organizer who may review any authorization granted, in the event of disruption to traffic or the holding of the event.
Article 57
Loud advertising and insistent customer attraction in any form are prohibited. Exhibitors must avoid blocking aisles or occupying them without prior written authorization from the organizer. They are required to honestly inform visitors about the characteristics, prices, terms of sale and warranty of their products or services in a complete, impartial and legally compliant manner. No form of misleading advertising or unfair behavior is permitted.
Article 58
The organizer takes out insurance to cover the financial consequences of its civil liability as organizer of the event. Exhibitors have the option of requesting an insurance certificate from the organizer specifying the risks covered, the warranty limits and the coverage period. Each exhibitor is responsible for taking out, at his own expense, insurance with his own insurer or the insurer approved by the organizer, to cover the risks incurred by himself, his staff or likely to be caused by third party. The organizer declines all responsibility in the event of loss, theft or damage of any kind.
TITLE VII: Transversal provisions
Article 59: Security
Event security is a priority. Participants must comply with the safety instructions issued by the Organizer.
Exhibitors are subject to strict rules regarding the presence of their staff and money on stands outside of show opening hours. They must be present during the opening and closing hours of the salon. In addition, any modification of the electrical installations is strictly prohibited without the prior authorization of the organizer.
The exhibitor acknowledges that it is up to the organizer to decide whether the event must be interrupted or evacuated in the event of a threat to public safety. The exhibitor undertakes not to hold the organizer responsible for this decision after the fact.
Article 60: Responsibilities of participants
Each participant is responsible for the accuracy of the information provided during registration and undertakes to update it in the event of subsequent modifications.
Exhibitors are responsible for the security and protection of their goods and products exhibited throughout the duration of SIPSIS.
Speakers are responsible for preparing and delivering their presentations in accordance with the instructions provided by the SIPSIS organizer.
Participants are required to respect the rules and regulations in force on the SIPSIS site, as well as the directives and instructions given by the organizer.
Article 61: Intellectual property
Each participant retains all intellectual property rights in its products, services, presentations and other content provided under SIPSIS.
Participants authorize the SIPSIS organizer to use their name, logo and information provided for the purposes of promoting the event, unless expressly indicated otherwise on their part.
Article 62: Correct dress
SIPSIS participants must dress properly and behave with courtesy towards all people.
Failure to comply with this provision by a participant may call into question their participation in the following edition of SIPSIS.
During the opening and closing ceremonies (the night of the health professional), the recommended outfits are the Faso Dan Fani and the Koko dunda.
Article 63: Cancellation and refund
If the organizer considers that the number of registered exhibitors is insufficient, he reserves the right to cancel or postpone the event. In this case, registered exhibitors will be fully refunded the amounts paid. Until registration closes, exhibitors assume all risks linked to the possible non-realization of the event, including costs incurred in anticipation of their participation, which remain entirely their responsibility.
In the event of force majeure making it impossible to organize or hold the SIPSIS, the organizer reserves the right to cancel, postpone or modify the event without notice.
Force majeure means any unforeseeable event, beyond the control of the parties and making the performance of contractual obligations impossible, such as natural disasters, armed conflicts, political unrest, epidemics or pandemics.
In the event of force majeure, the organizer cannot be held responsible for damage, losses or expenses suffered by participants.
The organizer undertakes to make all reasonable efforts to inform participants of any cancellation, postponement or modification of the event due to force majeure. Participants are encouraged to regularly consult official SIPSIS communications and communication channels for the most up-to-date information.
In the event of cancellation, postponement or modification of the event due to force majeure, the organizer reserves the right to offer alternative solutions, such as:
- The postponement of registration fees to a future edition of SIPSIS
- Partial reimbursement (50%) of registration fees for participants in activities.
Participants understand and agree that the Organizer cannot be held responsible for any expenses incurred by participants in connection with their participation in SIPSIS, including, but not limited to, travel, accommodation or other expenses. linked.
The conditions for participants to withdraw from SIPSIS are as follows:
Withdrawal deadlines: The participant must respect the withdrawal deadlines of three (03) months before the opening date of SIPSIS. This deadline indicates the period during which the participant can cancel their participation without incurring financial penalties.
Written notifications: The participant’s withdrawal must be communicated to the fair organizer in writing, usually by letter or email. It is important to retain proof of this notification.
Financial Penalties: If the participant withdraws after the specified deadline or without respecting the withdrawal conditions, he or she may be subject to financial penalties. These penalties may include the complete loss of registration fees or other costs incurred.
Replacement or substitution: In certain cases, the participant may be allowed to propose a replacement or make a substitution for his or her participation in SIPSIS. This may be subject to the prior approval of the organizer and specific conditions.
Article 64: Modification of the SIPSIS
The SIPSIS organizer reserves the right to modify the date, location or program of the event in the event of unforeseen circumstances or circumstances beyond their control.
Article 65: Limitation of liability
The organizer of SIPSIS declines all liability in the event of loss, damage, theft or injury occurring during participation in SIPSIS, except in the event of gross negligence or intentional action on their part.
Participants are responsible for purchasing adequate insurance to cover their property, liability and medical coverage for the duration of the SIPSIS.
Article 66: Photography and Video
The organizer reserves the right to photograph and film SIPSIS activities for promotional purposes.
Participants agree to be photographed and filmed, unless otherwise indicated in writing.
Article 67: Confidentiality
Participants undertake to maintain the confidentiality of any confidential information exchanged during SIPSIS, unless expressly authorized by the party concerned.
The organizer of SIPSIS reserves the right to collect and process the personal data of participants in accordance with their privacy policy.
Article 68: Applicable law and dispute settlement
These general conditions are governed by the laws in force in Burkina Faso, where SIPSIS takes place.
Any dispute arising from these general conditions will be subject to the exclusive jurisdiction of the courts of Burkina Faso where the SIPSIS takes place.
By registering online to create their user account, each participant acknowledges having read, understood and accepted these general conditions of SIPSIS.
